Requisition Summary

The HR Retirement Benefits Specialist is responsible for the daily administration of the U.S. salaried Defined Contribution Plans as well as providing support for the Defined Benefit Plan.  Serves as the primary liaison with systems providers and monitors compliance with regulatory requirements for the 401(k) Plan.  Responsible for plan reporting and analysis; handles communication with retirees and employees on retirement programs.

Job Functions / Responsibilities

Plan Operations

  • Serves as administrator for the US 401(k) plan.  Provides communication and problem resolution for local HR and employees and provides required reporting.
  • Responsible for ensuring 401(k) plans are operated according to the Plan.  Works with Payroll and external record keeper to resolve any discrepancies.
  • Responsible for administration of the Employee Stock Purchase Plan.  Interfaces with external vendor and Legal, provides required reporting, and serves as primary contact for employees.
  • Coordinates with trustee to set-up and maintain monthly additions and changes to retiree benefit payments from the pension plan via online system.  
  • Prepares pension plan benefit calculations and communication package for new retirees.
  • Prepares estimated pension plan benefits for employees and provides consultation on retirement benefits.
  • Develops and maintains operational procedures and process documentation for plans.


  • Provides retirement benefit presentations for employees and supports local HR representatives as needed.
  • Application of benefits laws and regulations and knowledge of legal requirements.
  • Monitors compliance for all regulatory reporting requirements for the retirement plans to include Form 5500 filings, summary plan description updates, and required plan amendments.

  • Coordinates summary plan description updates, and other plan communications as required. 
  • Creates and reviews employee retirement benefits communication materials.




Qualifications and Skills

  • Excellent interpersonal communication skills, including presentation and written, strong customer service, and ability to effectively communicate with external vendors and all levels of employees.
  • Strong analytical and problem-solving skills, with attention to detail.
  • Self-motivated and ability to work independently and in a team-oriented environment.
  • Excellent project management skills with ability to multi-task, as well as work in an organized and efficient manner.
  • Intermediate-level skill with Microsoft Office (Word, Excel, Access).
  • Prior experience with HRIS systems (SAP preferred).
  • CEBS certification or courses preferred.
  • Two to five years retirement plan administration experience.
  • Technical knowledge and understanding of retirement plans and regulations, including ERISA, IRS, DOL and other federal legislation.


  • Bachelor’s degree in Business Administration, Finance, Human Resources or related field required.
